Child Protection Policy

Every child in the care of Purple Rose Orphans has the right to safety, dignity, privacy and respectful treatment.

This policy explains the standards expected from caregivers, staff, volunteers, visitors, supporters and anyone acting on behalf of Purple Rose Orphans.

1

Purpose

The purpose of this policy is to protect every child in the care of Purple Rose Orphans from abuse, exploitation, neglect, inappropriate contact, unnecessary exposure and any behaviour that could place a child at risk.

All decisions involving children must place their safety, dignity and best interests first.

2

Scope

This policy applies to caregivers, staff, management, volunteers, visitors, contractors, supporters, photographers and anyone representing or working with Purple Rose Orphans.

It applies inside the home, during activities, during travel, in public communication and in online or social-media activity connected with Purple Rose.

3

Consent and Intake Records

Children's intake and care records are maintained for the purpose of responsible care and safeguarding. Personal information should be collected only when it is relevant to the child's care, safety or legal status.

Private records are not published as proof of transparency. Consent for public use of images or stories must be considered separately from care records. Access to sensitive records is limited to people who genuinely need the information for their role.

4

Photos, Videos and Children's Stories

Images and stories must present children with dignity. Purple Rose does not publish private histories, medical details, exact birth dates or material designed to make a child appear helpless for fundraising purposes.

First names are used only where appropriate. Photography must follow consent and safeguarding requirements. Children must never be pressured to pose, speak or share personal information.

5

Code of Conduct

Adults must behave in a way that protects children and respects appropriate boundaries.

Treat every child with respect. Do not use physical punishment, humiliating language, threats or intimidation. Do not create secret or inappropriate relationships with a child, request private contact details or bypass approved channels.

6

Screening and Supervision

Volunteer or visitor access to children is not automatic. Purple Rose may screen, limit, supervise or refuse participation when this is necessary for safeguarding.

Visitors and volunteers do not receive unsupervised access to children. The children's routines and caregiver responsibilities come before a visitor's experience. Skilled support must remain within the agreed role.

7

Online and Social Media Safety

Digital communication can expose children to risks even when the intention is positive. Purple Rose therefore limits what is shared publicly and how contact is created.

Do not share a child's private information, location, school records or medical information. Do not create private online contact with a child through volunteering, donations or sponsorship. Official updates should be shared through approved Purple Rose channels.

8

Reporting a Concern

Any concern about a child's safety, welfare or treatment should be reported promptly. A person does not need to prove that abuse has occurred before raising a genuine concern.

Do not investigate a concern yourself, confront the child publicly or share the allegation on social media.

If a child is in immediate danger, seek immediate assistance from the appropriate local authorities or designated safeguarding lead rather than waiting for a form response.

9

Responding to Concerns

Purple Rose will treat child-protection concerns seriously, record the information appropriately and take steps that prioritise the immediate safety and welfare of the child.

Where outside professional or legal assistance is required, the organisation will act in accordance with the circumstances and applicable responsibilities. The identity and dignity of the child should be protected throughout the response.

10

Confidentiality and Records

Safeguarding information is sensitive. It should be shared only with people who need it in order to protect the child, respond to the concern or meet a legitimate responsibility.

Records should be factual and stored responsibly. Rumours and unnecessary sharing of allegations are not acceptable. Public transparency does not require publication of private safeguarding records.

11

Policy Review and Contact

Purple Rose reviews its safeguarding practices as the organisation develops and as new risks or responsibilities become clear.

For questions about this policy, please use the contact form. For child-safety concerns, use the dedicated reporting option explained in Section 8.

A child's dignity always comes before fundraising.

Protection is not a marketing statement. It is a practical rule that guides access, communication, photography, volunteering and the way concerns are handled.
